Adding Mobile and Email to an Old Share Folio
A folio opened in 1994 has no email address on it, because email was not a consideration at the time. Registering a mobile number and email is now part of required KYC, and it is also the practical difference between hearing from the company and hearing nothing.
Many of the older folios we see at ClaimMyFunds have no email address at all, simply because they were opened before email was a consideration.
In short
Mobile and email are registered against a physical folio through Form ISR-1. No separate proof is normally required for either — but both must be ones you actually use, because they become the company's primary route to you.
When This Applies to You
- Your folio predates email and carries no electronic contact details
- You never receive annual reports, dividend advice or e-voting notices
- You have changed mobile number since the folio was opened
- You are completing KYC and want everything done in one submission
- You live abroad and postal communication is unreliable
Step by Step
Pick contacts you will keep
Use a mobile number and an email address you expect to hold for years. Changing them later means another form.
Use the Aadhaar-linked mobile if you can
Not required for the folio itself, but it keeps things consistent, and Aadhaar OTP e-signing for any later IEPF claim uses that number.
Complete the contact section of Form ISR-1
Write the email in capitals or very clearly. Misread email addresses are a routine cause of continued silence.
Every holder signs
Joint folios need all signatures, in the order the names appear.
Submit to the RTA and keep proof
Tracked post, receipt retained.
Test that it worked
After a few weeks, check whether you receive electronic communication. If nothing arrives before the next corporate action, follow up.
What to Attach
- Completed Form ISR-1
- Self-attested PAN for every holder
- Address proof
- No separate proof is normally needed for mobile or email
Where to Send It
Send to the company's RTA along with the rest of your KYC submission. There is little point sending contact details on their own if other KYC items are also missing.
Stuck on this?
Never hear anything from the companies you hold shares in? That is usually why. We can fix it across all your folios.
Free first assessment — we tell you what is recoverable before any fee is discussed.
Why These Get Rejected
Across the files we handle at ClaimMyFunds, almost every returned form fails for one of these reasons.
How Long It Takes
Indicative timings from cases we have handled. The variable that matters most is whether the file is complete when it arrives.
| Stage | Typical | What affects it |
|---|---|---|
| Decide which contacts to register | Same day | Choose ones you expect to keep for years. |
| Include them on Form ISR-1 | Same day | Print the email clearly in capitals. |
| Submit to the RTA | 1-3 days | Ideally with the rest of your KYC. |
| Electronic communication begins | 2-6 weeks | You should start receiving dividend advice and e-voting notices. |
What It Actually Costs
Indicative only. Stamp duty, notary rates and RTA service charges vary by state and by registrar, so treat these as what to budget for rather than a price list.
Frequently Asked Questions
Do I need proof of my mobile number or email?
Normally not. Unlike PAN and address, contact details are usually accepted as declared on Form ISR-1. Some RTAs may send a confirmation to verify them.
What will I actually receive once they are registered?
Typically dividend credit advice, annual report links, e-voting notices for general meetings, and any service correspondence about the folio. On an old folio with no contact details, none of that reaches you.
Can two folios share the same email address?
Yes. There is no restriction on using the same email across folios, and it is sensible to keep them consistent.
I live abroad. Can I register an overseas mobile number?
Most RTAs accept an international number, though some systems handle them awkwardly. Registering email is the more reliable option for overseas holders, and it should be your priority.
Is registering contact details compulsory?
Mobile and email form part of the KYC details SEBI expects against a physical folio. Requirements have been revised more than once, so confirm the current position with your RTA — but in practical terms, a folio with no contact details will cause you problems regardless.
Will registering my email stop paper documents arriving?
Largely yes for routine communication — annual reports, dividend advice and meeting notices increasingly go electronically once an email is on record. Certain documents may still be sent by post, so keep the postal address current as well rather than treating email as a replacement.
What if I share an email address with my spouse who holds a separate folio?
That is acceptable. There is no rule against two folios using the same email. Just be aware that correspondence for both holdings will arrive in the same inbox, so check who each message actually concerns before acting on it.
Can ClaimMyFunds register contact details on my behalf?
We prepare and submit the forms, though they must carry your own signature. Once done, you start receiving dividend advice and meeting notices electronically instead of relying on post that may never arrive.
