How to Change the Address on a Share Folio

Of all the reasons shares end up with the IEPF Authority, an out-of-date address is the most common and the most avoidable. Dividend warrants and notices go to the registered address; when that address is wrong, nothing reaches the shareholder and the seven-year clock quietly runs.

Step by Step

Gather proof of the new address

Aadhaar, passport, utility bill or another proof the RTA accepts. It must show the address exactly as you intend to register it.

Complete Form ISR-1

Write the address precisely as it appears on the proof — same flat number, same spelling, same PIN code. RTAs compare them literally.

Have every holder sign

On a joint folio all holders sign, in the order the names appear.

Send to the RTA with tracked delivery

Keep the receipt. If the file goes astray, that receipt is your only evidence.

Ask about anything already missed

If dividends went undelivered to the old address, ask in the same letter for revalidation and reissue.

Check whether the seven years have run

If dividends have gone unclaimed for seven consecutive years, the shares may already have moved to IEPF and a different process applies.

Frequently Asked Questions

How long does an address change take to process?

A clean submission is typically processed within two to six weeks. A mismatch between the form and the proof is the usual cause of delay.

Can I change the address online?

Some RTAs accept requests through an investor portal, others require physical documents by post. Check what your RTA states, because sending it the wrong way generally means starting again.

What if I have already moved abroad?

You can register an overseas address. You will also want to register an email address, since electronic communication is far more reliable than international post. NRIs additionally need an NRO or NRE-linked demat account for any claim.

The shareholder has died and the folio shows their old address. Do I update it?

No. Do not update the address of a deceased holder — that is a transmission matter. Use Form ISR-5 to claim as heir or nominee, and the folio moves into your name with your address.

Dividends have been undelivered for years. Is it too late?

Not necessarily. If less than seven years, ask the RTA to revalidate and reissue. If seven consecutive years have passed the shares will have gone to IEPF, and recovery is through Form IEPF-5 — slower, but there is no deadline on it.
